WhatsApp Automation Tool: How to Choose One in India

Automation7 min readUpdated 2 November 2026By the AiSender team

The right WhatsApp automation tool for an Indian business runs on the official WhatsApp Business Platform, shows Meta's charges clearly, bills in rupees with GST invoices, and lets your team and chatbot work from one inbox. Tools that automate WhatsApp Web or a modified app may look cheaper, but they put your number at risk. This guide gives you a checklist, the red flags to watch for, and a comparison of the main approaches.

First, understand the three kinds of tools

Everything sold as a "WhatsApp automation tool" in India falls into one of three groups.

ApproachHow it worksAllowed by WhatsAppRisk to your numberBest for
WhatsApp Business app featuresGreeting, away messages, quick replies, labels inside the free appYesLowVery small businesses, one person replying
Unofficial senders and botsSoftware, Chrome extensions or modified APKs that control normal WhatsAppNo, breaks terms of serviceHigh, numbers get bannedNot recommended
Platforms on the official APISoftware built on Meta's WhatsApp Business Platform (Cloud API)YesLow if you follow the rulesGrowing businesses, teams, campaigns, chatbots

If you need more than the Business app offers, the real choice is between platforms built on the official API. The rest of this guide helps you compare them.

Red flags: tools to avoid

Watch for these signs of an unofficial or risky tool:

  • "No template approval needed" or "send any message to any number". On the official platform, messages to customers outside the 24-hour window must use Meta-approved templates.
  • "Scan a QR code to connect" your existing WhatsApp. This usually means the tool is driving WhatsApp Web, not the API.
  • "Unlimited messages, no ban guarantee" for a fixed price. Nobody can guarantee that, and official sending limits depend on your messaging tier and quality.
  • A desktop app, Chrome extension or APK you install to "bulk send".
  • No mention of Meta charges. On the official platform, Meta charges per message. A tool that hides this is either unofficial or will surprise you later.
  • No business verification or display name step. Official setup connects your number to a Meta business portfolio.

Unofficial tools often work for a few days or weeks. When WhatsApp detects the pattern, the number can be banned, and you lose the chats and customer trust attached to it. Our bulk WhatsApp marketing guide explains why the official route is safer.

The checklist for choosing a WhatsApp automation tool

Use this list when you speak to any provider.

  1. Official API. Is it built on the WhatsApp Business Platform (Cloud API)? Do you connect through Meta's own Facebook login flow?
  2. Ownership of your number. Is the WhatsApp Business Account in your own Meta business portfolio? Can you move to another provider later?
  3. Transparent pricing. Are Meta's per-message charges shown separately from the platform's own fee? Is there a monthly subscription, setup fee or minimum commitment?
  4. INR billing and GST invoices. Can you pay in rupees through UPI or Indian cards? Do you get proper GST invoices for input credit?
  5. Hindi and Hinglish support. Does the chatbot actually understand "kal tak delivery ho jayegi?" and reply in the same style?
  6. Human handover. Does the bot pass the chat to an agent and stop replying while the agent is talking?
  7. Shared inbox. Can several agents reply from one number with tags, notes and quick replies?
  8. Campaigns. Can you upload an Excel or CSV list, personalise templates with variables and schedule sends?
  9. Opt-out handling. Are STOP replies opted out automatically?
  10. Reports. Do you get sent, delivered and read reports per campaign?
  11. API and webhooks. Can your website, CRM or app trigger order updates, OTPs and reminders? Are delivery statuses and replies sent back by webhook?
  12. Support. Is there support in your language and working hours, from people who understand Meta's rules?

Understand the pricing before comparing

Two tools can look very different on price because they bundle charges differently. As of November 2026:

  • Meta charges per delivered message, by category: marketing, utility, authentication and service.
  • From 1 October 2026, service replies inside the 24-hour window are free up to 1,000 per number per month, then charged.
  • Utility templates such as order updates are charged even when sent inside an open 24-hour window.

On top of Meta's charges, providers add their own fees: monthly plans, per-message markups, chatbot fees or setup charges. Ask each provider for the total cost of a realistic month, for example 5,000 marketing messages, 3,000 order updates and 4,000 chat replies. Our WhatsApp Business API pricing in India guide shows how to calculate it.

Questions to ask in a demo

  • "Show me the template approval screen and a rejected template. Why was it rejected?"
  • "Ask your chatbot a question in Hinglish with a spelling mistake."
  • "What happens when an agent replies while the bot is on?"
  • "How do I export my contacts and reports if I leave?"
  • "Where do I see Meta's charges on my bill?"
  • "If my quality rating drops, how will I know?"

A good provider answers these clearly. Vague answers are a warning.

How AiSender fits the checklist

AiSender is built on the official WhatsApp Business Platform (Cloud API) and is run by Bulk SMS India from Jagadhri, Haryana. Briefly:

  • Connect your number in about 10 minutes with Continue with Facebook.
  • Prepaid wallet, no monthly fee, GST invoices.
  • AI chatbot that replies 24x7 in Hindi, English and Hinglish from your own business info, with FAQs importable from your website URL. It hands over to a human and pauses when an agent replies.
  • Shared Live Chat inbox with multiple agents, quick replies, tags and notes.
  • Scheduled campaigns from Excel or CSV with personalised variables, up to 15 days ahead, with automatic opt-out on STOP replies.
  • Delivery and read reports.
  • REST API and webhooks so your developer can trigger order updates, OTPs and reminders from your own systems.

Use the checklist on any tool you consider, including ours. If you are still unsure whether you need the API at all, read WhatsApp Business app vs API.

FAQ

What is the best WhatsApp automation tool in India?

The best tool is one built on the official WhatsApp Business Platform that fits your volume, budget and team. Use the checklist above, and avoid any WhatsApp automation tool that works by scanning a QR code or installing an extension.

Are bulk WhatsApp sender software tools safe?

Most "bulk WhatsApp sender" software automates normal WhatsApp, which breaks WhatsApp's terms and can get your number banned. Bulk sending is safe only through the official API with approved templates and opted-in contacts.

Do I need a monthly plan for WhatsApp automation?

Not always. Some providers charge a monthly subscription, others use a prepaid wallet. AiSender uses a prepaid wallet with no monthly fee. Meta's per-message charges apply either way.

Can I keep my existing number?

Usually yes. In most setups the number is moved from the regular WhatsApp or WhatsApp Business app to the API, so ask your provider how it works for your number and back up chats you want to keep before you move it.
