To automate WhatsApp messages like order updates, payment reminders and appointment reminders, your own system (website, billing software, CRM or app) calls the WhatsApp API when something happens, and a pre-approved template goes to the customer within seconds. Webhooks then send delivery status and the customer's reply back to your system. Once it is set up, nobody on your team has to remember to send these messages.
This guide explains the flow in plain language, which template categories to use, and what your developer needs to build.
Which messages are worth automating?
The best candidates are messages that are triggered by an event, are the same every time except for a few details, and matter to the customer.
| Business | Event in your system | Automated WhatsApp message |
|---|---|---|
| Online store | Order placed, shipped, delivered | Order confirmation, tracking link, delivery confirmation |
| Distributor or wholesaler | Invoice due in 3 days | Payment reminder with amount and UPI link |
| Clinic or salon | Appointment booked, day before visit | Booking confirmation, reminder with time and address |
| Coaching institute | Fee due, test result published | Fee reminder, result notification |
| Service business | Technician assigned | Technician name and visit time |
| Any app | Login or signup | One-time password (OTP) |
These are high-value because customers expect them. A shipping update on WhatsApp is usually more welcome than a promotional offer.
How to automate WhatsApp messages: the flow
Here is the flow for an order update, step by step.
| Step | Where it happens | What happens |
|---|---|---|
| 1 | Your website | Customer places order #4521 |
| 2 | Your website's backend | Calls the messaging API with the customer's number, the template name and values (name, order number, amount) |
| 3 | Platform (AiSender) | Checks the request and sends it to WhatsApp through the Cloud API |
| 4 | Delivers the template to the customer's phone | |
| 5 | Platform to your system | Webhook reports sent, delivered and read statuses |
| 6 | Customer | Replies "Address change karna hai" |
| 7 | Platform | The reply appears in the shared inbox for an agent or the AI chatbot, and a webhook can notify your system |
On AiSender, step 2 is a single call to the REST API (POST /api/v1/messages) with your API key. Webhooks cover steps 5 and 7. Our WhatsApp API integration guide covers authentication, request fields and error handling for developers.
Template categories: choose the right one
Every automated message that starts a conversation must use a template approved by Meta. Templates fall into three categories, and the category affects both approval and cost.
- Utility: about a specific transaction or account the customer already has. Order confirmations, shipping updates, payment reminders, appointment reminders.
- Authentication: one-time passwords for login or verification. See WhatsApp OTP authentication.
- Marketing: offers, new arrivals, re-engagement, anything promotional.
Two practical rules:
- Keep utility templates clean. If you add "Use code DIWALI20 on your next order" to a shipping update, Meta can treat the template as marketing.
- Know the cost. As of November 2026, Meta charges per message by category, and utility templates are charged even when sent inside an open 24-hour customer service window. From 1 October 2026, free-form service replies in the window are free up to 1,000 per number per month, then charged.
Read WhatsApp template message approval for what gets rejected.
Sample templates
Variables appear as {{1}}, {{2}} and so on. Your system fills them in each time.
Order shipped (utility):
Hi {{1}}, aapka order {{2}} ship ho gaya hai. Expected delivery: {{3}}. Track karein: {{4}}
Payment reminder (utility):
Dear {{1}}, invoice {{2}} of Rs {{3}} is due on {{4}}. Pay via UPI here: {{5}}. Already paid? Please ignore this message.
Appointment reminder (utility):
Namaste {{1}}, kal {{2}} baje Dr. {{3}} ke saath aapka appointment hai. Address: {{4}}. Reschedule karna ho toh isi chat par reply karein.
Short, specific and useful. Each one also invites a reply, which your team or chatbot can handle.
What if my software has no built-in WhatsApp option?
Most businesses use software that does not "speak WhatsApp" directly: a custom website, an online store platform, billing or ERP software, or a CRM. AiSender does not have ready-made plugins for each of these. Instead, your developer connects them through the REST API and webhooks:
- Custom website or app: add an API call wherever the event happens, such as after payment success.
- Online store platforms: use the store's own webhooks (order created, order fulfilled) to call a small script that calls the AiSender API.
- Billing or CRM software: many can export or trigger on due dates. A scheduled script can check for due invoices every morning and send reminders.
- No developer at all: you can still upload a CSV of today's reminders and schedule a campaign. It is less automatic but works.
Developer checklist
- Get templates approved for each event before writing code.
- Store customers' WhatsApp opt-in with the date and source.
- Format numbers with the country code (91 for India).
- Call the API from your server, never from browser code, so your API key stays private.
- Handle webhook statuses: retry or alert on failures, do not resend blindly.
- Avoid duplicates: if your system retries, make sure one event sends one message.
- Respect timing: payment reminders at 2 am will annoy customers.
- Log every message with the order or invoice ID for support.
- Test with your own number before going live.
Do not put marketing content into transactional templates and do not message people who have not opted in. Both can lower your quality rating and affect your messaging limits.
FAQ
Can I automate WhatsApp messages without coding?
Partly. Scheduled campaigns from Excel or CSV and the AI chatbot need no code. Truly event-triggered messages, like sending an update the moment an order ships, need a developer to connect your system to the API.
Are automated order updates free on WhatsApp?
No. As of November 2026, Meta charges for utility templates, including ones sent inside an open 24-hour window. Check current rates before estimating your monthly cost.
How fast are API-triggered messages delivered?
Usually within seconds when the customer's phone is online. Webhooks tell your system when each message is delivered and read.
Can customers reply to automated messages?
Yes. Replies arrive in the shared inbox, where an agent or the AI chatbot can answer, and webhooks can also pass them to your system.
