WhatsApp Automation Guide: What to Automate in 2026

Automation7 min readUpdated 2 November 2026By the AiSender team

WhatsApp automation means letting software send or answer WhatsApp messages for your business without someone typing each one. Done the official way, through the WhatsApp Business Platform (API), you can automate instant replies, an AI chatbot, scheduled campaigns and order or appointment alerts from your own system. Done the unofficial way, with browser bots or modified apps, it usually ends with a blocked number.

This guide covers what you can safely automate as of November 2026, what should stay with a person, and how to set it up step by step.

The official way vs the risky shortcut

Search online and you will find two very different things.

  • Official automation runs on Meta's WhatsApp Business Platform. Messages go through the Cloud API, follow Meta's rules on templates and opt-in, and your number keeps a quality rating that you can see and manage.
  • Unofficial automation means tools that control WhatsApp Web, Chrome extensions that click "send" for you, or modified WhatsApp APKs. These break WhatsApp's terms of service. WhatsApp detects unusual patterns and can ban the number, often along with years of customer chats.

If your WhatsApp number is important to your business, only automate it through the official platform. If you are new to the API, first understand how the official WhatsApp Business API works and what it costs.

The four types of WhatsApp automation

Almost everything a business automates on WhatsApp falls into one of four buckets.

TypeWhat it doesTriggered byExample
Auto-repliesInstant fixed reply to an incoming messageCustomer messages you"Thanks for messaging, we reply within 30 minutes"
AI chatbotUnderstands questions and answers from your business infoCustomer messages you"Sunday ko khule ho?" gets your actual timings
Scheduled campaignsSends an approved template to a list at a set timeYour calendarDiwali offer to 3,000 opted-in customers at 10 am
API-triggered notificationsSends a template when something happens in your systemYour website, app or CRM"Your order #4521 has been shipped"

1. Auto-replies

The simplest automation. When someone messages you, they get an instant acknowledgement, your timings, or a link. Useful for after-hours messages, but fixed replies cannot answer real questions. Our WhatsApp auto reply for business guide has ready-to-use examples.

2. AI chatbot

An AI chatbot reads the customer's message and replies in natural language using information you provide: prices, timings, delivery areas, policies. On AiSender, the AI chatbot replies 24x7 in Hindi, English and Hinglish, can import FAQs from your website URL, and hands the chat to a human when needed.

As of November 2026, Meta's policy (in force since 15 January 2026) does not allow general-purpose AI assistants on the WhatsApp Business Platform. A chatbot that serves your own customers, answering questions about your products, bookings and orders, is allowed. Keep the bot focused on your business. More in our WhatsApp AI chatbot guide.

3. Scheduled campaigns

Upload a contact list from Excel or CSV, choose a Meta-approved template, map variables like name or order amount, and pick a date and time. On AiSender you can schedule campaigns up to 15 days ahead, and anyone who replies STOP is opted out automatically.

4. API-triggered notifications

This is where automation saves the most staff time. Your website, billing software or CRM calls a REST API when something happens (order placed, payment due, appointment tomorrow) and the right template goes out. Webhooks send delivery status and customer replies back to your system. We cover this in detail in how to automate WhatsApp messages with the API.

What should stay human

Automation works best when it handles the repetitive chats, not every chat. Keep a person involved for:

  • Complaints and angry customers. A bot reply to "my order is damaged" feels dismissive.
  • Refunds, discounts and price negotiation. These are business decisions.
  • Medical, legal and financial questions. A clinic bot can share timings; it should not advise on symptoms.
  • High-value leads. A property site visit or a bulk order deserves a call or a personal message.
  • Anything the bot is unsure about. It is better to say "Main aapko team se connect karta hoon" than to guess.

A shared inbox makes this practical. On AiSender, the chatbot hands over to agents in the Live Chat inbox and pauses itself while an agent is replying, so the customer never gets two answers. Agents can use quick replies, tags and notes.

What automation costs

Automation does not change Meta's charges, but it changes how many messages you send. As of November 2026:

  • Meta charges per delivered message by category: marketing, utility, authentication and service.
  • From 1 October 2026, service replies inside the 24-hour window are free up to 1,000 per number per month, then charged.
  • Utility templates (order updates, reminders) are charged even when sent inside an open 24-hour window.

So a chatbot that answers thousands of chats a month may go beyond the free service allowance. Factor that in. The WhatsApp Business API pricing in India post has a worked example.

Step-by-step: setting up WhatsApp automation

  1. Pick a number. Use a new number, or be ready to move your existing WhatsApp or WhatsApp Business app number to the API. Back up any chats you want to keep first.
  2. Connect it to the official platform. On AiSender this takes about 10 minutes with Continue with Facebook.
  3. Write your business information. Timings, address, products, prices, delivery areas, policies and your 20-30 most common questions. Import FAQs from your website if you have them.
  4. Switch on the AI chatbot and test it with real questions, including Hinglish and spelling mistakes.
  5. Add your team to the shared inbox and agree who handles handovers.
  6. Create templates for the messages you send repeatedly: order confirmations, reminders, offers. Submit them for Meta approval.
  7. Schedule your first campaign to an opted-in list, starting small.
  8. Connect your systems through the API and webhooks if you want order or appointment alerts to go out automatically. Your developer can do this.
  9. Review weekly. Check delivery and read reports, chats the bot handed over, and STOP replies.

Start with one automation, usually the AI chatbot, get it right, then add campaigns and API alerts. Switching everything on in one day makes problems hard to trace.

FAQ

Is WhatsApp automation legal in India?

Yes, when you use the official WhatsApp Business Platform, follow Meta's template and opt-in rules, and respect Indian data and consumer laws. Unofficial tools that automate the normal WhatsApp app break WhatsApp's terms and put your number at risk.

Can I automate WhatsApp without coding?

Yes. Auto-replies, the AI chatbot, scheduled campaigns and the shared inbox work from the AiSender dashboard. You only need a developer for API-triggered notifications from your own website or software.

Can a chatbot reply in Hindi?

Yes. AiSender's AI chatbot understands and replies in Hindi, English and Hinglish using your business information.

Will automation get my number blocked?

Not if you use the official API, message only opted-in customers and keep quality high. Blocks usually come from unofficial tools or from sending unwanted promotions.
