WhatsApp Chatbot for Ecommerce: Flows for D2C Brands

Industries7 min readUpdated 2 November 2026By the AiSender team

A WhatsApp chatbot for ecommerce answers your shoppers' most common questions automatically: where is my order, can I confirm my COD order, how do I return this, and does this come in size M. For Indian D2C brands, it cuts support load, reduces fake COD orders and turns product questions into sales. Below are practical flows you can set up, with sample messages.

Why D2C brands use WhatsApp for support and sales

Indian shoppers are more likely to message you on WhatsApp than to fill a contact form or wait on email. When a brand replies quickly on WhatsApp, customers feel looked after. A chatbot built on the official WhatsApp Business API lets you do that at scale, with order updates sent from your store system and questions answered by AI.

There are two parts:

  • Automated notifications (business-initiated): order confirmed, COD confirmation, shipped, delivered. These are utility templates triggered by your store via API or webhook.
  • Conversational chatbot (customer-initiated): answering questions, sharing products, starting returns, handing over to a human.

Flow 1: Order confirmation and COD confirmation

Cash on Delivery orders that get refused at the door cost you shipping both ways. A quick WhatsApp confirmation before you ship helps you catch orders the customer doesn't actually want.

  1. Customer places a COD order on your website.
  2. Your store sends the order details to AiSender through the REST API (POST /api/v1/messages) or a webhook.
  3. Customer receives a utility template with buttons.
  4. "Confirm" marks the order ready to ship; "Cancel" stops it before dispatch.
  5. If there's no reply after a few hours, your team can call or send one reminder.

Hi {{1}}, thank you for shopping with Kesar Living! Your order {{2}} of Rs {{3}} is on Cash on Delivery. Please confirm so we can ship it today.

Buttons: "Confirm order", "Cancel order".

You can also offer prepaid conversion in the follow-up chat, but keep promotional wording out of the utility template itself, or Meta may re-categorise it as marketing.

Flow 2: Order status ("Where is my order?")

This is usually the most common support question for D2C brands. Handle it two ways:

  • Proactive: send shipped, out-for-delivery and delivered updates as utility templates with a "Track order" button.
  • On request: when a customer asks "mera order kab aayega?", the chatbot asks for the order number or registered phone number and shares the latest status from your tracking page.

Customer: Mera order abhi tak nahi aaya

Bot: Sorry for the wait! Please apna order number share karein (jaise KL10482), main abhi status check karke batata hoon.

If the order is delayed beyond your promised time, hand the chat to an agent.

Flow 3: Returns and exchanges

Returns are emotional. Make the first step easy and the policy clear.

  1. Customer types "return" or "size exchange".
  2. Bot explains the policy in one short message (window, condition, refund mode).
  3. Bot asks for the order number and reason: size issue, damaged, different from photo, other.
  4. For size exchanges, the bot shares the return link or steps.
  5. For damaged or wrong items, the bot asks for a photo and hands over to an agent with a tag like "Damaged".

Bot: Hamari return policy: delivery ke 7 din ke andar, unused product with tags. Refund original payment mode mein 5-7 working days mein. Kya aap exchange chahenge ya refund?

Flow 4: Product questions

Product questions are sales opportunities. An AI chatbot fed with your catalogue information, size charts and fabric details can answer:

  • "Is this cotton or rayon?"
  • "Size chart bhejo for kurta set"
  • "Kya yeh 2 din mein Bangalore aa jayega?"
  • "Do you have this in navy blue?"

Give your chatbot your product details, size guide, delivery times by region, and care instructions. On AiSender you can import FAQs from your website URL to get started, then edit them. Read more in our WhatsApp AI chatbot guide.

Flow 5: Catalogue and product discovery

Not every shopper knows what they want. A guided chat can help:

  1. Bot asks: "Kis ke liye shopping kar rahe hain? Women / Men / Kids"
  2. Then: occasion or budget.
  3. Bot shares 2-3 matching product links from your website.
  4. If the shopper asks something specific or wants a bulk or gifting order, hand over to a human.

Keep it to a few steps. Long quizzes lose people.

Flow 6: Abandoned cart recovery

If a shopper opted in to WhatsApp updates and left items in the cart, a gentle reminder can bring them back. This is a marketing template, so send only to opted-in customers and don't overdo it. Our WhatsApp abandoned cart recovery guide covers timing and wording.

As of November 2026, Meta charges per delivered template message, with marketing costing more than utility, and from 1 October 2026 service replies are also charged after 1,000 free per number each month. Meta can change pricing each quarter; see WhatsApp Business API pricing in India.

Connecting your store

To send order updates automatically, your website or store platform needs to tell your WhatsApp platform when something happens. With AiSender:

  • Use the REST API (POST /api/v1/messages) to send a template when an order is placed, shipped or delivered.
  • Use webhooks to receive delivery and read updates and customer replies back in your system.
  • Use the shared Live Chat inbox so your support team sees every chat with the customer's history, tags and notes, and the 24-hour window on each chat.

Developers can follow our WhatsApp API integration guide.

Setup checklist for D2C brands

  1. Connect your WhatsApp number (about 10 minutes with Continue with Facebook on AiSender).
  2. Get utility templates approved: order confirmation, COD confirmation, shipped, delivered.
  3. Connect your store via API or webhook.
  4. Feed the AI chatbot your policies, size charts, delivery times and FAQs.
  5. Set handover rules for complaints, damaged items and refunds.
  6. Add WhatsApp opt-in at checkout for marketing messages.
  7. Test every flow with real orders before going live.
  8. Review chats weekly and add missing answers.

FAQ

Can a WhatsApp chatbot confirm COD orders automatically?

Yes. Your store sends a utility template with Confirm and Cancel buttons when a COD order is placed, and the customer's tap tells you whether to ship.

Do I need a developer to connect my ecommerce store?

For automatic order updates, someone needs to connect your store to the API or webhooks. The chatbot and inbox themselves can be set up without coding.

Can the chatbot handle refunds?

It can explain your policy and collect the order number, reason and photos, but refund decisions should go to a human agent.

Is a WhatsApp chatbot useful for a small D2C brand?

Yes. Even with a small order volume, automated order updates and instant answers to common questions save time and make the brand feel reliable.
