WhatsApp Shared Team Inbox: Multiple Agents on One Number

Guides7 min readUpdated 2 November 2026By the AiSender team

A WhatsApp shared team inbox lets several staff members reply to customers from one business WhatsApp number, each logged in from their own computer, with every chat visible to the team. It runs on the WhatsApp Business API, not on a single phone, so you can assign chats, use quick replies, add tags and notes, and see how much of the 24-hour reply window is left on each conversation.

If your front desk, sales team and support staff are passing one phone around, or customers wait hours because "the person who handles WhatsApp is on leave", this guide is for you.

Why one phone stops working

The WhatsApp Business app is built for one owner. It allows a few linked devices, but there is no real way to assign a chat to a person, see who replied, or stop two people answering the same customer differently. Common problems:

  • Two staff reply to the same lead with different prices.
  • Nobody replies because everyone assumes someone else will.
  • When a salesperson leaves, their chat history and context leave with them.
  • The owner has no idea how quickly customers are being answered.

A WhatsApp shared team inbox on the API fixes this by putting all chats in one web panel. Our WhatsApp Business app vs API comparison explains the wider differences.

How a WhatsApp shared team inbox works

  1. Connect your number to the API. With AiSender, you connect through Continue with Facebook in about 10 minutes. See how to get WhatsApp Business API for the steps and documents.
  2. Add your team as agents. Each person gets their own login, so you know who said what.
  3. Customers message your usual number. All chats land in one Live Chat inbox.
  4. Agents pick up or get assigned chats. Others can see a chat is being handled.
  5. Agents reply with quick replies, add tags and private notes. Context stays with the chat, not with the person.
  6. Campaign replies come back to the same inbox. When you run a bulk campaign, every "Interested" or "Price batao" lands where your team is already working.

Assigning chats so nothing falls through

A simple rule beats a complicated one. Pick a model that suits your team:

ModelHow it worksBest for
Pick-upAgents take the next open chat themselvesSmall teams of 2-4 people
By topicSales enquiries to sales, complaints to supportShops, D2C brands
By locationEach branch handles its own city or areaSalon chains, clinics with branches
By ownerA lead stays with the same salespersonReal estate, coaching admissions

Whatever you pick, write it down and tell the team: who owns new chats in the morning, who covers lunch, and who handles chats after closing time.

Quick replies: answer common questions in seconds

Most businesses answer the same 15-20 questions every day. Save them as quick replies so any agent can send a consistent, correct answer. Examples:

  • Timings: "Hum Monday se Saturday, 10 AM se 8 PM tak open hain. Sunday closed."
  • Location: "Hamara address: Shop 12, Main Bazaar, Jagadhri. Google Maps link: ..."
  • Fees: "NEET Foundation batch fee Rs 45,000 per year hai, 3 instalments me de sakte hain."
  • Order status: "Please apna order number share karein, hum abhi check karte hain."
  • Price list: "Yeh rahi hamari latest price list. Koi bhi product ke baare me poochiye."

Keep quick replies short, friendly and up to date. Review them whenever prices or timings change.

Tags and notes: keep context for the whole team

Tags help you sort and find chats later. Notes let agents leave information that the customer cannot see.

Useful tags:

  • Lead stage: New enquiry, Hot lead, Site visit booked, Converted, Not interested
  • Type: Complaint, Refund, Bulk order, Appointment
  • Source: Campaign name or ad name

Useful notes: "Wants 2BHK under 60 lakh, visiting Sunday", "Already got 10% discount, do not offer more", "Patient prefers evening slots".

When the next agent opens the chat, they understand the situation without asking the customer to repeat everything.

The 24-hour window, explained simply

WhatsApp has one rule every agent must understand:

  • When a customer messages you, a 24-hour customer service window opens.
  • Inside that window, agents can send normal free-form replies, photos and documents.
  • After 24 hours with no message from the customer, you can only reach them with a Meta-approved template message, which is charged by Meta.
  • Every new message from the customer restarts the 24-hour clock.

AiSender shows the remaining window on each chat, so agents can prioritise customers whose window is about to close. If a window has closed, send a short approved template to reopen the conversation. Our guide to WhatsApp template message approval shows how to create one.

A note on costs: Meta announced that from 1 October 2026, service replies beyond a free monthly allowance are charged, where earlier they were free. Check Meta's pricing page for the latest details, as Meta can change pricing each quarter.

Response-time tips for busy teams

  1. Set a target. For example, first reply within 15 minutes during business hours. Measure it weekly.
  2. Cover peak hours. Look at when most chats arrive (often lunch time and evenings) and staff those hours.
  3. Use an AI chatbot for the first reply. AiSender's AI chatbot answers in Hindi, English and Hinglish from your own business information, and can import FAQs from your website URL. It hands over to a human when needed and stays quiet when an agent is replying. Read our WhatsApp AI chatbot guide to see how it fits with a team.
  4. Close the loop. Before ending a chat, ask "Kuch aur madad chahiye?" and tag the outcome.
  5. Do not leave chats hanging after hours. If no one is available, let the chatbot answer common questions and tell the customer when a person will reply.
  6. Review difficult chats. Once a week, read a few complaint chats as a team and update quick replies and notes.

WhatsApp shared team inbox setup checklist

  1. Connect your business number to the WhatsApp Business API.
  2. Add every agent with their own login.
  3. Decide your assignment model and write it down.
  4. Create 15-20 quick replies for your most common questions.
  5. Agree on a short list of tags.
  6. Train agents on the 24-hour window and templates.
  7. Turn on the AI chatbot for after-hours or first replies.
  8. Set a response-time target and review it weekly.

FAQ

Can multiple people use one WhatsApp business number?

Yes. With the WhatsApp Business API and a shared team inbox like AiSender's Live Chat, many agents can reply from one number, each with their own login, at the same time.

What happens after the 24-hour window closes?

You can no longer send free-form messages. You need to send a Meta-approved template message, which Meta charges for. Once the customer replies, a new 24-hour window opens.

Can I keep using WhatsApp on my phone with a shared inbox?

Usually your team works from the web inbox for that number. Meta also offers a "coexistence" option that keeps the Business app active on a number connected to the API, but availability and features depend on your platform, so check before you connect.

Will customers know which agent replied?

Customers see your business name and number, not the individual agent. Agents can sign their name in messages if you want a personal touch.

If your team is ready to stop sharing one phone, try AiSender for a shared WhatsApp inbox with multiple agents, quick replies, tags, notes and an AI chatbot that knows when to step back.
